Troubleshooting
Fixes for the most common questions on event night.
Your dashboard
Admins- Sign in and you land on the Dashboard. It shows your events, sponsorships, money committed and money collected.
- The Getting started checklist at the top shows what's left to set up. Steps check themselves off as you finish them.
- Click any event name to open its Event command center.
1. Create your event
Admins- Click Create Event in the top menu.
- Fill in the event name, date, a short description (sponsors will read this), venue, city, state and your sponsorship goal.
- Click Create Event. You'll be taken to the event's command center.
Optional: click Masthead Image on the event page to add a banner across the top of your public page (see Add or resize your masthead banner). Made a typo or the date moved? You can change any of this later — see Edit event name and details.
Build your event with AI
Admins- Click Create Event in the top menu. At the top you'll see Build with AI.
- Describe your event in your own words: name, date, venue, how many guests, ticket prices, sponsor levels and what each gets, and whether you're selling program ads. The more you include, the better the draft. Click Use an example to see what a good description looks like.
- Click Draft my event. In about 20 seconds you'll see a full draft: event details, tickets, sponsorship packages with benefits, and program ad sizes.
- Read the yellow Check these box: it lists anything the AI assumed (like suggested prices). Change any field, use Remove to drop an item, or + Ticket, + Package and + Ad size to add one.
- Click Create Event. Everything is created at once and you land on the event page. Nothing goes on sale until you click Publish Event.
Nothing is saved until you click Create Event — Start over throws the draft away. After it's created, you can change anything the normal way (see Edit event name and details and Edit sponsorship packages). Each organization gets 25 AI drafts per day.
2. Add sponsorship packages
Admins- On the event page, click + Sponsorship Package.
- Enter the package name (e.g. "Gold Sponsor"), price, how many you're selling, and how many guest seats each sponsor gets.
- List the benefits one per line (e.g. "Logo on step-and-repeat").
- Click save. Repeat for each sponsor level.
Need to change a package later? You can edit, pause or remove it any time — see Edit sponsorship packages. Selling individual tickets too? Use + Ticket Type the same way — and edit, pause or delete them later from Edit or delete ticket types.
3. Connect Stripe to get paid
Admins- Click Organization in the top menu, then Manage payments.
- Click Connect Stripe. You'll go to Stripe's secure site to enter your organization's details and bank account.
- When Stripe sends you back, Charges and Payouts should both say On. If not, click Finish Stripe setup (or Finish what Stripe still needs) to finish what Stripe still needs.
SponsorOS never sees your bank or card numbers — Stripe handles them directly.
4. Publish and share your sponsor page
Admins- On the event page, click Publish Event. (You need at least one sponsorship package first.)
- Click View Public Page to see what the public sees. It lists Tickets first, then Program Ads, then Sponsorships, with buttons at the top (Get Tickets, Buy a Program Ad, Become a Sponsor) that jump straight to each one. Sections with nothing on sale are hidden.
- Copy that page's web address from your browser and send it to sponsors by email, text or social media. Ticket buyers, ad buyers and sponsors all pick what they want and pay right there.
5. Manage sponsors
Admins- Paid sponsors appear in the Sponsors section of the event page with their payment status.
- Click Invite next to a sponsor to create their private Sponsor Portal link. Copy it and send it to them.
- In the portal, sponsors add their own guests (up to their seat allowance), get QR codes for them, and upload logos and assets.
- Use Sponsors in the top menu to track prospects through your pipeline before they commit.
- Click Edit next to any sponsor on the event page to open their full profile.
Everything about a sponsor can be changed any time — see Edit a sponsor's information.
6. Build your guest list
Admins- On the event page, click Guests.
- To add one person, click + Guest, fill in their name (email is optional but needed for emailed QR codes), then Save Guest.
- To add many, scroll to Spreadsheet Import, choose your CSV or Excel file and click Preview File.
- Match your spreadsheet columns to First name and Last name (required), plus Email, Sponsor, Table, Group and VIP if you have them. Then click Commit Import.
Duplicates are skipped automatically, so it's safe to re-import an updated list.
7. Send QR codes to guests
Admins- On the event page, click Readiness.
- In Credential Delivery, click Send Credentials. Every guest with an email address gets a personal QR code.
- Guests show that QR code on their phone (or printed) at the door.
Sending again creates new codes and cancels the old ones — only resend if you need to.
8. Invite your team and volunteers
Owners & Administrators- Click Team & Staff in the top menu.
- Under Invite team member, enter their email and pick a role, then click Send invitation.
- They get an email with a link to set up their login.
- Adding a shirt size here is optional — it puts them on your shirt list. (See Shirt sizes.)
Which role? Check-In Staff — door volunteers (check-in only). Event Admin — manages events, guests and sponsors. Finance — money and reports. Administrator — everything, including payments and team.
9. Event night: check-in
Everyone at the door- On the event page, click Check-In (volunteers can also open it from their dashboard).
- The camera turns on by itself and stays on. Point it at a guest's QR code: a green screen with a ✓ means they're checked in; a red screen with an ✕ means the ticket was already used (it shows the last scan time) or isn't valid.
- No QR code? Type their name, sponsor or table in the search box and tap CHECK IN.
- The big number at the top shows how many guests have arrived.
- Checked in the wrong person? Tap Undo under their check mark, then Confirm undo.
Send volunteers the Volunteer quick-start — it's one screen and works on any phone.
10. After the event: reports
Admins & Finance- On the event page, click Reports.
- Download the Guest & Attendance Report to see who came, the Sponsor Report for sponsor details, or the Post-Event Summary PDF for your board.
- Use Financials to record expenses and see your net proceeds.
Change any time
Refunds (tickets, sponsorships and program ads)
Admins- Tickets: event → Guests → Ticket orders → View order → Refund. Choose how many tickets; their QR codes stop working and the seats go back on sale. See View, re-send or refund a ticket order.
- Sponsorships: on the event page, find the sponsor under Sponsors and tap Refund. Refund the full amount or type a smaller amount for a partial refund. A full refund also cancels the sponsorship — the package spot opens back up, their portal link stops working and their guests' QR codes are cancelled.
- Program ads: event → Program Ads → Refund on the ad. The ad is pulled from the program export and its spot opens back up.
- Every refund asks you to confirm twice, then the buyer is emailed and Financials shows it right away.
Your organization covers the full cost of a refund, including Stripe's processing fee (Stripe keeps its fee even when money is returned). Owners, admins, event admins and finance can refund. Refunds can't be undone. Sales paid by check or cash aren't refunded here — return the money the way it was paid, then mark it Refunded.
View, re-send or refund a ticket order
Admins- Open your event and click Guests. Ticket orders is at the top — search the buyer's name or email and tap View order.
- You'll see what they bought, what they paid and with which card, each ticket and whether it's been used at the door, and every email we've sent them.
- Re-send tickets: tap Resend tickets, fix the email if it was mistyped (SponsorOS suggests corrections like gmial.com → gmail.com), then Send. They get brand-new QR codes and the old ones stop working.
- Refund: tap Refund, choose how many tickets, add a reason if you like, then Refund $… and Yes, refund. The buyer gets the ticket price back plus their share of the card fee, to the card they paid with.
A refund happens immediately: the refunded tickets' QR codes stop working, the seats go back on sale, the buyer is emailed, and Financials shows the refund. The money comes out of your Stripe balance and reaches the buyer in 5–10 business days. Refunds can't be undone. Owners, admins, event admins and finance can refund.
How buyers check out (one cart for everything)
Admins- On your public event page, buyers tap Add to Cart on any ticket, program ad or sponsorship. Tickets have a number picker; program ads open a short form for the photo and message.
- The cart opens on the side. Buyers can change ticket numbers, Remove items, or tap Continue Shopping to add more. The gold Cart button in the bottom-left corner brings it back.
- When they're done, they enter their name and email (plus a company or family name if a sponsorship is in the cart) and tap Checkout. They pay once through Stripe, with one card fee on the total.
- On your side every item is recorded separately: ticket orders with QR codes, the sponsorship in Sponsors, and each program ad in Program Ads as Needs review.
- The buyer gets one confirmation email for the whole cart: an order summary with the total, a QR code link for every ticket (grouped by ticket type), the Open Sponsor Portal button if they bought a sponsorship, and their program ad wording. Nothing is emailed separately.
Sponsors who want to pay by check can still tap Prefer to pay by check? Request an invoice under any sponsorship. Your direct program ad link (from Program Ads → Copy link) still works for one-ad orders.
Card fees, refund policy and program ad deadline
Admins- Open your event and click Sales Settings.
- Card processing fee: choose Buyer pays it (it's added as its own line at checkout — a $30 ticket becomes $31.21) or Organization pays it (buyers see only your prices). This applies to every event in your organization; only the owner or an administrator can change it.
- Refund policy: pick No refunds, Refunds up to 1, 7 or 30 days before the event, or Write my own policy. The box underneath shows exactly what buyers will read. It appears on your public page, on every checkout page, above Stripe's Pay button and in ticket emails.
- Program ads: set the Last day to order (ordering stays open through the end of that day) and, if you like, a Total ads for this event limit across all sizes. Leave either blank for no limit.
- Click Save sales settings. Your public page and ad page update right away.
SponsorOS shows your refund policy; you decide each refund. Give refunds from inside SponsorOS — see Refunds. When the buyer pays the card fee, sponsors paying online use a card; sponsors who want to pay by check can choose Request an invoice instead.
Share your public event page
Admins- Publish your event first (Publish Event on the event page). Only published events can be shared.
- On the event page, click Share Public Page.
- Click Copy Link and paste it anywhere — Facebook, Instagram bio, your website, a group text or newsletter.
- Or use the quick buttons: Share… (phones and tablets — opens your phone's share menu), Text Message, Email or Facebook.
- Click Download QR Code to save a QR code image for flyers, posters, programs or a slide. Anyone who scans it lands on your page.
The link never changes, even if you rename the event or change the date — so flyers you already printed keep working. Visitors can share it too: every public event page has a gold Share button in the bottom-right corner.
Add or resize your masthead banner
Admins- Open your event and click Masthead Image.
- Choose an image (PNG, JPEG or WebP, up to 5MB). The best size is 1920 × 640 pixels — three times wider than it is tall.
- The fitting window opens showing the whole image with nothing cut off. If your image isn't that wide shape, the leftover space is filled with a color — pick one of the dots (or the color box) to match your graphic.
- Prefer it edge-to-edge? Click Fill banner (crops edges), or drag the Zoom slider and drag the picture to choose what shows.
- Click Save masthead. Your public page shows the full banner across the top, with your event name and buttons underneath.
Already uploaded one that's cut off? Upload the original image again and click Show whole image. (Resize / reposition current image only works with what was saved before, so parts already cut off can't come back.)
Edit your organization's details
Owners & administrators- Click Organization in the top menu.
- Change your organization name, legal name, type, website, contact email, phone or mission, then click Save changes. The new name shows everywhere in SponsorOS right away.
- To change your logo, click Change logo (or Upload logo) on the same page.
Bank account and business details used for payouts live in Stripe, not here — see Update or reset your Stripe payment account.
Update or reset your Stripe payment account
Owners & administrators- Click Organization in the top menu, then Manage payments.
- Setup link expired or lost? Click Finish Stripe setup. You always get a brand-new link — old links can't be reused, and an expired one automatically sends you a fresh one.
- Change your bank account, address or contact details: click Update bank & business info. Your Stripe dashboard opens in a new tab, where you can also see payouts.
- Just finished something in Stripe? Click Refresh status to update Charges and Payouts.
- Wrong Stripe account connected? Under Connect a different Stripe account, click Disconnect Stripe account, type DISCONNECT and confirm. Then click Connect Stripe to set up the right one.
Disconnecting pauses online ticket, program ad and sponsorship sales until the new account is ready. Money already paid and payouts on the way aren't affected. Only owners and administrators see these buttons.
Give guest-list guests tickets
Admins- In your spreadsheet, add a Ticket type column (spelled like your ticket types, e.g. VIP or General Admission) and a Number of tickets column. Both are optional.
- Open the event → Guests → Import Spreadsheet → choose the file → Preview File, and check the columns are matched.
- Under Tickets for guests, pick a ticket type and number for rows that leave them blank (or for everyone, if your file has no ticket columns). The summary shows how many of each type will be handed out and warns you if there aren't enough left.
- Leave Email each guest their tickets now ticked to send each guest one email with all their QR codes (swipeable, plus a PDF). Then click Commit Import.
- For one guest at a time, click + Guest, choose Tickets and How many, and click Save Guest.
Guest-list tickets are free (complimentary): they use up seats of that type so you can't oversell, but they don't count as money collected. Each guest's tickets show in Ticket orders as Guest list · free, where you can Resend tickets or add an email later. Removing a guest gives that seat back.
Edit event name and details
Admins- Open your event and click Edit Event Details at the top.
- Change the name, date, description, venue, street address, city, state, ZIP code or sponsorship goal, then click Save changes.
- With a street address filled in, your public page shows the full address, a map of the area and Get directions / Open in Apple Maps buttons so buyers can see where the venue is and what's nearby.
- The new details show everywhere right away — your dashboard, the event page, check-in, and your live public, ticket and program ad pages.
Your public page and sales links never change, so links you already shared keep working. Emails and QR codes already sent keep the old wording — if the date or venue changes, let your guests and sponsors know.
Edit sponsorship packages
Admins- Open your event. Every package in Sponsorship Packages has three buttons: Edit, Pause sales and Remove.
- Click Edit to change the name, price, description, quantity, guest seats or benefits, then Save changes. Your public sponsor page and checkout update right away.
- If sponsors already bought the package, you'll see a checkbox to also give them any added guest seats and new or renamed benefits.
- Pause sales hides a package from your public page until you click Resume sales. Remove (then Confirm remove) takes it off sale for good.
Existing sponsors always keep the price they paid. You can't lower the quantity below what's already sold, and a package can't be removed while someone is in the middle of paying for it — pause it instead.
Edit or delete ticket types
Admins- Open your event and scroll to Ticket Types. Every ticket has three buttons: Edit, Pause sales and Delete.
- Click Edit to change the name, price, description, quantity or max per order, then Save changes. Your public page and checkout update right away.
- Pause sales hides the ticket from your public page until you click Resume sales. Tickets already sold still work at check-in.
- Delete (then Confirm delete) removes a ticket type for good — but only if none have sold. Once a ticket sells, Delete is greyed out; use Pause sales instead.
Price changes only apply to new buyers. You can't lower the quantity below what's already sold, and a ticket can't be deleted while someone is in the middle of buying it — pause it and try again in 30 minutes.
Edit a sponsor's information
Admins- Click Sponsors in the top menu and open the sponsor — or click Edit next to them on an event page.
- Company details: click Edit details to change the name, website, description and internal notes (only your team sees notes). Upload, replace or remove their logo in the same panel.
- Contacts: click Edit on any contact to change their name, title, email or phone. Use Make primary to choose your main contact, or + Add contact for someone new.
- Sponsorships: click Edit on an event to change the package, amount, guest seats, status (committed, active, completed, cancelled), payment status, or their contact for that event. Then Save sponsorship.
- Activity log: log calls, emails, meetings and notes, and set a follow-up date. Any entry can be edited or deleted.
- Pipeline stage: change it from the dropdown at the top — the change is logged automatically.
Changing an amount or payment status updates your records only — it never charges or refunds anyone. Cancelling a sponsorship frees up its package spot; switching packages moves the spot (sold-out packages can't be picked). Important changes are added to the sponsor's activity log.
Two-step verification & sign-out
Everyone- Two-step verification is optional unless your organization turns it on. Anyone can turn it on for their own account, and we recommend it for anyone who handles money or personal information.
- To require it for your team: an owner or administrator goes to Account → Manage two-step verification and clicks Require for admins & finance. Owners, administrators, event admins and finance users are then taken to the setup screen the next time they open SponsorOS (check-in volunteers never are). Click Make it optional to turn the requirement off again.
- Install a free authenticator app on your phone — Google Authenticator for iPhone (App Store) or Android (Google Play). Or use Microsoft Authenticator for iPhone or Android. Authy or a password manager such as 1Password also work.
- Go to Account → Manage two-step verification, click Set up two-step verification, scan the QR code with the app, and type the 6-digit code it shows.
- From then on, after your password you'll enter the current 6-digit code from the app. Add a second authenticator (a backup phone or password manager) so a lost phone never locks you out. To stop being asked for codes, click Remove next to your authenticator (only allowed when your organization doesn't require it).
- For security, SponsorOS signs you out after 60 minutes without activity (4 hours on the door check-in screen). You'll get a 5-minute warning with a Stay signed in button.
Lost your phone? An owner or administrator can click Reset 2-step next to your name on Team & Staff — after confirming it's really you — and you'll set it up again at your next sign-in. The Team list also shows who has two-step turned on.
Sell program ads
Admins- Open your event and click Program Ads.
- Click + Add option for each kind of ad you sell — for example Full Page, Half Page and Quarter Page Shout-Out. Set the price, ad size, how many you'll sell (or no limit), message length and whether a photo is required. Use Edit, Pause or Remove any time — the sales page updates instantly.
- Set your order deadline (and an overall ad limit, if you want one) under Sales Settings on the event page — after the deadline the ad page shows "closed" and ads disappear from your public page. See Card fees, refund policy and program ad deadline.
- Click Copy link under Sales page and share it. Buyers pick an option, upload a photo, write their message, add their name, email and phone, and pay by card through Stripe. Your ad options also appear on your public event page under Buy a program ad (once card payments are set up), so you don't have to share a second link.
- New ads arrive as Needs review. Check the photo and message, then click Approve — or Edit to fix a typo, swap the photo or change the option, and Needs changes + Email buyer if you need something from them.
- Selling to someone by check or cash, or giving a free ad? Click + Add ad manually and choose Paid or Complimentary.
- When you're ready to build the program, pick the page size and click Download PowerPoint (.pptx). Full-page ads get their own slide, half-page ads are 2 per slide and quarter-page ads 4 per slide. Everything is editable, and buyer details are in each slide's speaker notes.
Only approved and paid ads are exported unless you tick Include ads not yet approved. For Google Slides, upload the .pptx to Google Drive and open it with Google Slides. The first slide is a summary — delete it before printing.
Sponsor report & action items
Admins- Click Sponsors in the top menu, then Report & action items.
- The top shows open action items, money committed, money still to collect, overdue follow-ups and your win rate. The Pipeline bar shows how many sponsors are at each stage.
- Action items are built automatically from your sponsor data — overdue or upcoming follow-ups, proposals without a follow-up, sponsors you haven't contacted in 3+ weeks, unpaid sponsorships, portal links not sent, incomplete guest lists, items you're waiting on from sponsors, missing logos and missing contact info. They're sorted High → Medium → Low, with the closest deadlines first.
- Click Open to jump to the right screen and fix it — the item disappears on its own once it's handled. Not ready to deal with it? Click Snooze 7d to hide it for a week (use Show snoozed items to bring one back).
- Pick an event from the dropdown to focus on one event, or leave it on All events.
- To share or work offline: Download action items (CSV) gives a checklist with a "Done" column, Download sponsor report (CSV) gives a summary plus one row per sponsor, and Print / Save as PDF makes a clean one-page-per-section printout for board or committee meetings.
Keep follow-up dates and payment statuses current on each sponsor's page — the report is only as good as that information. Priorities rise automatically as the event gets closer.
Staff & volunteer roster
Admins- Your staff and volunteers live in Team & Staff → Event Staff Roster. Click + Add to Roster to add someone (name, contact, pay type, shirt size).
- Click a person's name to set their shirt size, upload documents (photo ID, W-9) or send them a self-onboarding link, where they can fill in their own info and shirt size.
- To put someone on a specific event, open the event → Operations → Staff. Use Add from roster for existing people or + New person; both let you set a shirt size.
- Click Edit on anyone in the event's staff list to change their details, role, call time, pay or shirt size.
Archive keeps someone on file but out of your active lists (and the shirt export). Erase permanently deletes them and their documents.
Shirt sizes
Admins- Go to Team & Staff and scroll to Shirt Sizes.
- Click Create shirt-size link, then Copy link, and text or email it to all your staff and volunteers. They enter their name, email and tap a size — it takes 30 seconds on a phone.
- Watch the counts fill in. Still missing shows who hasn't entered a size yet.
- When you're ready to order, click Export for shirt order (CSV). It opens in Excel or Google Sheets: everyone listed by size, with an Order Summary (quantity per size and total) at the bottom.
Sizes can also be entered anywhere you add people: + Add to Roster, a roster member's details, event Operations → Staff (new, from roster, or Edit), Invite team member, and the staff self-onboarding portal. If someone submits the link twice with the same email, the newest size wins. If the link ends up somewhere it shouldn't, click New link to turn the old one off.
Troubleshooting & FAQ
A buyer didn't get their ticket email.
Ask them to check spam first. Then open the event → Guests → Ticket orders, find them, tap Resend tickets, check the email address and tap Send. See Re-send tickets.
I use SponsorOS from my home screen. How do I go back?
When SponsorOS is opened from its home-screen icon, your phone hides the browser's buttons, so SponsorOS shows its own ‹ Back button at the top left of every screen except the Dashboard. On Stripe's payment page, use the small ← next to your organization's name to go back without paying.
A buyer says an item disappeared from their cart.
The cart lives in their browser tab. Closing the tab or switching to another browser or phone starts a fresh cart. A program ad in the cart holds its spot for 60 minutes; after that they'll see "Held spot expired" and need to add it again.
A buyer paid for several things at once. How do I find them?
Each item shows up in its usual place — tickets on Guests and Financials, the sponsorship in Sponsors, ads in Program Ads — all under the buyer's email. In Stripe it's one payment. Refund any single item from its own Refund button; the rest of the order stays as it is.
How do guests with several tickets get through the door quickly?
Every ticket email has a gold Show all tickets button. It opens all of the order's QR codes on one screen: the guest shows the first, your scanner scans it, and the guest swipes (or taps Next) to the next one. The same tickets are attached to the email as a PDF, one ticket per page, which opens even with no cell signal. Tip: post a sign in line saying "Have your tickets open — swipe after each scan."
Will buyers know the email is from my organization?
Yes. Every email to buyers and sponsors (order confirmations, tickets, sponsor and program ad confirmations, refunds) starts the subject line with your organization's name, shows your logo and name at the top, and appears in their inbox as "Your Organization via SponsorOS". When a buyer hits Reply, it goes to your organization's contact email. To change the name or email: Settings → Organization → edit Organization name or Contact email → Save. Change the logo under Settings → Branding.
How do I show the venue's address and a map?
Open your event → Edit Event Details → fill in Street address and ZIP code → Save changes. Your public page then shows the address, a map and buttons for directions. See Edit event name and details.
How do I give someone free tickets from my guest list?
Use a Ticket type and Number of tickets column in your spreadsheet import, or + Guest with Tickets and How many. They get one email with all their QR codes. See Give guest-list guests tickets.
How many emails does a buyer get for one cart?
One. The order confirmation covers everything in the cart: the total paid, a QR code link for each ticket, the sponsor portal button for a sponsorship and the program ad wording. You can see it under Ticket orders → View order → Emails as Order confirmation (whole cart). If they lose it, use Resend tickets, Email sponsor or Resend confirmation on the item they need.
Why is there a card processing fee at checkout?
Your organization chose to have buyers pay Stripe's card fee (about 2.9% + 30¢), so you receive your full ticket, ad and sponsorship prices. To absorb it instead, open the event → Sales Settings → Organization pays it. See Card fees, refund policy and program ad deadline.
A buyer wants a refund. How do I give one?
Everything is refunded inside SponsorOS. Tickets: event → Guests → Ticket orders → View order → Refund. Sponsorships: event page → Sponsors → Refund (full or partial; a full refund cancels the sponsorship). Program ads: event → Program Ads → Refund on the ad. The buyer gets their payment back, including their share of the card fee, and is emailed. See Refunds.
Who pays the fees when I refund someone?
Your organization does. The whole refund — including Stripe's processing fee, which Stripe doesn't give back — comes out of your organization's Stripe balance. If your balance is low, Stripe takes it from your next payout.
Someone wants a program ad after the deadline.
Either move the Last day to order later in Sales Settings, or add their ad yourself on Program Ads with + Add ad manually.
My ticket buyer paid but SponsorOS didn't show the order.
SponsorOS now double-checks every payment with Stripe when the buyer lands on the thank-you page, as well as through Stripe's notification. If an order is still missing, email support with the buyer's email and the time they paid.
How do I share my event page?
Open the event and click Share Public Page. Copy the link, send it by text or email, post to Facebook, or download a QR code. If you don't see the button, click Publish Event first. See Share your public event page.
What does my link look like when I text or post it?
It shows a preview card with your event name and organization name, the date and venue, and your masthead photo (or your logo if there's no photo). To change them, edit the event (Edit Event Details), your masthead photo, or your organization name in Settings → Organization. Facebook and some phones remember an old preview for a while; on Facebook you can refresh it with their Sharing Debugger.
Can people who visit my page share it?
Yes. Every public event page has a gold Share button in the bottom-right corner. On a phone it opens the phone's share menu; on a computer it shows Copy link, Text message, Email, Facebook and X.
The Share… button is missing.
The Share… button only shows on phones and browsers that have a built-in share menu. On a computer, use Copy Link, Email or Facebook instead.
My masthead image is cut off or too big.
Click Masthead Image, choose your original image again, click Show whole image, then Save masthead. The whole graphic will show across the top of your page. See Add or resize your masthead banner.
The AI builder says it can't build a draft or is busy.
Wait a minute and click Draft my event again. If it keeps happening, you can always fill in the form under Or fill it in yourself instead. See Build your event with AI.
The AI got a price, date or venue wrong.
Just change it in the draft before you click Create Event — every field can be edited. The AI never makes up a date or venue; if you didn't give one, that box is left empty for you to fill in.
It says I've used all my AI drafts for today.
Each organization can make 25 AI drafts per day. Try again tomorrow, or fill in the event yourself using the form below the AI box.
Create Event says to fill in the date, venue, city or state.
Those are required for every event. Fill in the empty boxes at the top of the draft, then click Create Event again.
How do I turn two-step verification off?
For your own account: go to Account → Manage two-step verification and click Remove next to your authenticator. If SponsorOS won't let you, your organization requires it — an owner or administrator can click Make it optional on the same page. See Two-step verification & sign-out.
Stripe says it "couldn't complete that request" on Manage payments.
Usually the Stripe account saved in SponsorOS was removed or disconnected inside Stripe. Click any button on Manage payments once — SponsorOS notices, clears the old link, and shows Connect Stripe so you can link an account again. If it still fails, email support.
My Stripe setup link expired or doesn't work.
That's normal — Stripe links only work once and expire quickly. Go to Organization → Manage payments and click Finish Stripe setup for a brand-new link. See Update or reset your Stripe payment account.
How do I change the bank account our money goes to?
Go to Organization → Manage payments and click Update bank & business info. Stripe opens in a new tab where you can change it.
If I rename my event, will my links break?
No. Your public page, ticket and program ad links stay the same when you edit the event name or details. See Edit event name and details.
Why can't I delete a ticket type?
Once a ticket type has sold, it can't be deleted — the buyers' orders, receipts and check-in codes depend on it. Click Pause sales to stop selling it instead. See Edit or delete ticket types.
Can I change a ticket price after people bought?
Yes. Click Edit on the ticket and save the new price. It only applies to new buyers — nobody who already bought is charged more or refunded automatically.
The camera won't open on my iPhone or Android.
Make sure you're using Safari (iPhone) or Chrome (Android), not an app's built-in browser. When asked, tap Allow for camera access. If you tapped "Don't Allow" earlier: on iPhone go to Settings → Safari → Camera → Allow; on Android tap the lock icon next to the web address → Permissions → Camera → Allow. You can always check guests in by name instead.
It says "Credential not found for this event."
The QR code is for a different event, or it was replaced when new codes were sent. Search the guest by name and check them in that way.
It says "Already checked in."
That guest was already checked in — possibly on another phone. The time they arrived is shown next to their name. If someone else used their code, get an admin.
I checked in the wrong person.
Tap Undo under their check mark, then Confirm undo. Volunteers can undo their own check-ins for 15 minutes; after that, or for someone else's check-in, an event admin can undo it from the same screen. Every undo is logged.
The screen says OFFLINE.
Keep going — check-ins are saved on the phone and sync automatically when the internet comes back. You'll see "pending sync" until they upload. Don't close the browser tab until it clears.
A guest isn't on the list.
Search by last name, sponsor and table first. If they're truly missing, an admin can add them on the Guests page with + Guest, and they'll appear on the check-in screen after a refresh.
Can I change a package after sponsors have bought it?
Yes. Click Edit on the package. New sponsors see your changes right away. Existing sponsors are never charged a different price; check Also give existing sponsors… to pass along added guest seats or benefits. You can't lower the quantity below what's already sold.
A sponsor paid by check or cash. How do I mark them paid?
Open the sponsor, click Edit on that event's sponsorship, set Payment to Paid and click Save sponsorship.
A sponsor who paid online needs a refund.
On the event page, find them under Sponsors and tap Refund. Refund all of it (which cancels the sponsorship) or a smaller amount. See Refunds.
A sponsor wants to upgrade (or downgrade) their package.
Open the sponsor, click Edit on the sponsorship, pick the new Package, adjust the Amount and Guest seats if needed, and save. The package counts update automatically. If the new package is sold out, raise its quantity on the event page first.
A sponsor backed out.
Open the sponsor, click Edit on the sponsorship and set Status to Cancelled. Their package spot opens back up for someone else, and their history stays on file.
How do I change a sponsor's name, logo or contact person?
Open the sponsor and click Edit details for the name, website, description, notes and logo. For people, click Edit next to a contact or use Make primary.
A program ad buyer sent the wrong photo or has a typo.
Open the event → Program Ads, click Edit on their ad, fix the message or upload the new photo, and save. You can also click Needs changes and Email buyer to ask them for a better photo.
How do I refund a program ad?
Open the event → Program Ads and tap Refund on the ad. The buyer is refunded and emailed, and the ad is left out of the export.
Can I change an ad option's price after people have bought it?
Yes — click Edit on the option. New buyers see the new price right away; people who already paid keep what they paid. If you change the ad size, tick the box to also resize ads already sold.
Why is a sponsor on my action item list?
Each item says why (for example "Follow-up overdue" or "3 of 8 guest names submitted"). Click Open, fix it, and it drops off the list next time the report refreshes. If it doesn't apply, click Snooze 7d.
How do I send the sponsor report to my board or committee?
On Sponsors → Report & action items, click Print / Save as PDF and choose "Save as PDF", or download the CSVs to open in Excel or Google Sheets.
Someone entered the wrong shirt size.
They can submit the shirt-size link again with the same email — the newest size replaces the old one. Or fix it yourself: Team & Staff → click their name in the roster → pick the right size.
Someone is missing from the shirt export.
The export includes everyone active on your Event Staff Roster. Archived people and SponsorOS logins who were never given a shirt size aren't included — add them to the roster (or submit the shirt link for them) and they'll appear.
The Publish Event button gives an error.
You need at least one sponsorship package before publishing. Add one with + Sponsorship Package, then try again.
A sponsor says they didn't get their confirmation or portal link.
Sponsors who pay online are emailed a confirmation with their sponsor portal link automatically. Ask them to check spam. To send it again, open the event, find them under Sponsors and tap Email sponsor — they get a fresh link and the old one stops working. To change their email first, open the sponsor and edit the contact.
A program ad buyer didn't get their confirmation.
Open the event → Program Ads, find their ad and tap Resend confirmation. Wrong email? Tap Edit, fix the buyer email, save, then resend.
A guest didn't get their QR code email.
Check their email address on the Guests page and ask them to look in spam. Sponsor guests can also be given a fresh code from the Sponsor Portal with New QR.
Stripe says Charges or Payouts are Off.
Stripe still needs information. Go to Organization → Manage payments and click Finish Stripe setup (or Finish what Stripe still needs), then Refresh status.
A volunteer never got their invitation email.
Ask them to check spam. You can click Send invitation again with the same email — it won't create a duplicate.
I lost my phone and can't get my two-step code.
Ask your organization's owner or an administrator to click Reset 2-step next to your name on Team & Staff. Then sign in with your password and set up two-step again on your new phone.
Why was I signed out?
SponsorOS signs you out after 60 minutes without any activity (4 hours on the check-in screen) to protect sponsor and guest information. Just sign in again — you'll get a warning 5 minutes before it happens.
My 6-digit code doesn't work.
Codes change every 30 seconds — enter the newest one. If it still fails, make sure your phone's time is set automatically (Settings → Date & Time).
I forgot my password.
On the sign-in page, click Forgot your password? and enter your email. You'll get a reset link.
